  • Set the quiz structure before sending invitations. Prepare the rounds, check every answer and write at least two tie-break questions so a close finish does not delay the ending.
  • Close registration early enough to build participant groups. Aim to finalise teams at least 3 days before the quiz, especially if you need to account for dietary requirements.
  • Test the laptop, presentation, monitor screen, HDMI cable, sound system and microphone together at the venue at least 1 hour before doors open. A cable that works at home may not reach the presentation table.
  • Give setup a fixed order: open the venue, place tables and chairs, arrange the quiz and buffet tables, then connect power and equipment. Keep extension cords and power strips away from walking routes.
  • Prepare food and drinks separately from the quiz materials. Chill drinks before guests arrive, put snacks in small bowls or on serving boards, and place printed response forms and pens at every team table.
