How to organise a workshop day without last-minute chaos

A workshop day needs more than a programme and a room. Start by fixing the schedule, confirming workshop leaders and opening registrations, then use the participant list to plan rooms, materials, seating and refreshments. The final week is for printing, packing and testing equipment; the event morning is for setup, registration and a short technical check. This order prevents common problems such as missing dietary information, unlabelled materials and presenters discovering faulty projectors just before the first session.

Tips

  • Set a registration deadline at least 7 days before the workshop day. Use the final participant list to confirm numbers, dietary requirements, name badges, handouts and how many materials each workshop needs.
  • Confirm workshop leaders and send the programme to attendees no later than 5 days in advance. Include room names, start times and any materials participants should bring, so questions do not pile up on the morning itself.
  • Prepare one clearly labelled materials pack per workshop room at least 2 days beforehand. Include the relevant worksheets, notepads, pens, flip-chart supplies and activity materials rather than placing everything in one central pile.
  • Test every laptop, projector, screen, microphone and speaker in the actual rooms the day before. Put extension cords and power strips where they will be used; a last-minute search for missing cables can delay the opening.
  • Plan the event morning backwards from registration. Finish room setup, signage, coffee, tea and snacks at least 30 minutes before participants arrive, leaving the final 10 minutes for a sound and presentation check.

Frequently asked questions

How far in advance should I organise a workshop day?
Start at least 6 weeks before the event if you need a venue, several workshop leaders and participant registrations. Set the registration deadline 7 days before the day so you have time to update the list, collect dietary requirements and prepare materials.
When should I send the workshop programme to attendees?
Send the programme at least 5 days before the workshop day. Include session times, room assignments, arrival instructions and any information about materials or dietary needs.
How early should I arrive to set up a workshop day?
Arrive at least 2 hours before participants are due to arrive. Use the first 90 minutes for tables, chairs, materials, registration and refreshments, and reserve the final 30 minutes for equipment testing and opening preparations.
How many handouts and name badges should I prepare?
Prepare one name badge and one handout set per registered participant, plus 5% extra for unexpected attendees or damaged copies. Finalise the quantities 2 days before the event, after checking the latest participant list.
