How to organise a Winter Run
A Winter Run needs more than a marked route and a finish line. Start by fixing the date, checking the route and distances, and securing the start and finish locations before opening registration. Then arrange permits, traffic control, volunteers, first aid and catering in that order. Cold weather adds extra pressure: bibs, signs, drinks, medals and warming equipment must be ready before runners arrive.

Tips
- Confirm the route and distances before publishing registration. Mark every turn, include kilometre markers, and allow time to redesign the route if a road or location cannot be used.
- Submit permits and notifications early, then build the traffic plan around the actual route. Brief traffic marshals separately and give them reflective vests, walkie-talkies and clear positions before race day.
- Close registration early enough to print bib numbers and participant lists. Sort bibs in advance and keep spare safety pins at check-in; these small items are often forgotten until the first runners arrive.
- Plan the finish area for cold conditions, not just for the race itself. Set up party tents, tables, chairs, thermos flasks and coolers so runners can collect medals and refreshments without standing exposed for too long.
- Check the weather forecast several days before the run and again on the morning itself. Put route signs, cones, crowd barriers, timing equipment and power banks into labelled storage boxes so volunteers can deploy them quickly.
Frequently asked questions
- How far in advance should I organise a Winter Run?
- Start planning at least 8 to 12 weeks before race day. Permits, traffic arrangements, the route, volunteers and catering usually take longer to confirm than expected.
- When should registration close for a Winter Run?
- Close registration 5 to 7 days before the run if possible. That gives you time to process entries, collect dietary requirements, print bib numbers and prepare participant lists.
- How many volunteers do I need for a Winter Run?
- Plan for at least 1 volunteer at registration, each aid station, the finish area and every traffic-control point. Add 2 or 3 floaters for missing signs, late arrivals and weather-related problems.
- What should I prepare the day before a Winter Run?
- Prepare bibs, route signs, medals, snacks and drinks the day before, and check all timing and communication equipment. Leave only final placement, weather checks and perishable items for race morning.
