- Scout the complete route before publishing the distance. Check surfaces, crossings, toilets, phone coverage and places where arrows or signs could be missed; also record how long the route takes at a normal walking pace.
- Set a deadline for registrations and dietary requirements, then use the final participant count to plan drinks, food and group sizes. Print the participant list and emergency contacts before setup begins, rather than relying only on a phone.
- Do not leave route marking until the last minute. Place directional signs, arrows, cones or barrier tape early enough to walk the route once more and replace anything that is loose, hidden or facing the wrong way.
- Give every participant practical information before the walk: start time, group allocation, distance, route map, rest-area details and an emergency contact number. Send this at least 48 hours in advance so questions can be resolved before arrival.
- Prepare the start and finish areas separately. Set out registration materials, water and communication equipment at the start, while the finish needs seating, refreshments, lighting if required and a clear way to check that walkers have returned.
