- Reserve the pool before opening registration, then record the full course and note every swim entry, exit and turning point. Use that information in the competition rules and participant briefing.
- Set a registration deadline at least 7 days before the race. This gives you time to process entries, check medical information, collect dietary requirements, assign start numbers and form starter groups.
- Create a safety plan with named volunteers for each key section of the course. Give them a briefing before the start and use walkie-talkies so incidents can be reported without leaving their post.
- Mark the course on race morning, but check the route the day before as well. Place cones and route signs where runners can see the next direction before reaching a junction or swim section.
