- Choose the sports components before creating the match schedule. Allow time between rounds for teams to move, referees to reset equipment and scores to be recorded; a five-minute buffer per round can prevent the whole programme from running late.
- Close registrations at least 7 days before the sports day. Use the final participant list to assign teams, check dietary requirements and decide how many team bibs, volunteers and scoreboards are needed.
- Give each volunteer one defined role and a start time, such as registration, scoring, refereeing or refreshments. Send the rota with the participant information so nobody has to find out their job at the registration desk.
- Check every sports area and the route around it before setup. Look for trip hazards, unstable goal posts, wet surfaces and missing boundary markers, then place cones, rubber mats or other equipment before participants arrive.
