How to organise a sponsored run

Start by fixing the date, route and start-and-finish location before contacting sponsors or opening registration. Then confirm permits, traffic measures and insurance, because these can take longer than expected. Build sponsorship packages while the route is being checked, and set a clear deadline for registrations, emergency contacts and dietary requirements. In the final week, brief volunteers, print bib numbers and signs, and test the equipment you will use for announcements, timing and payments.

Tips

  • Allow at least 8–12 weeks for planning. Secure the route, location, permits, traffic measures and insurance before promoting the run publicly.
  • Inspect the full route on foot or by bike at least twice: once during planning and again in the final week. Mark every turn with arrows, add kilometre markers, and check where cones or volunteers are needed.
  • Close registration 3–7 days before the run if you need time to check names, emergency contacts, dietary requirements, bib numbers and the starting order. Keep a small number of spare bibs and safety pins for changes on the day.
  • Give each volunteer a written post and arrival time at least 7 days beforehand. Assign route marshals, registration staff, finish-line support and a named backup so one absence does not leave a gap.
  • Test the start arch, finish ribbon, microphone, portable speaker, stopwatches, payment terminals and extension leads at the venue 1–2 days before the event. Prepare power banks and a manual participant list in case the internet or power fails.

Frequently asked questions

How long does it take to organise a sponsored run?
Allow 8–12 weeks for a small sponsored run and longer if traffic measures or permits are required. Set the route and date first, then leave at least 3–7 days between registration closing and race day for final checks.
When should I contact sponsors for a sponsored run?
Create sponsorship packages as soon as the date, route and audience are confirmed, ideally 8–10 weeks before the run. Give sponsors a firm contribution and logo deadline, such as 3 weeks before the event, so printed materials are not delayed.
How many volunteers do I need for a sponsored run?
Plan for at least one volunteer at registration, one at the start and finish area, and one at every major crossing or confusing turn. Review the route and participant count 1–2 weeks beforehand to add coverage where runners may spread out.
When should I print bib numbers and route signs?
Print bib numbers after registration closes, usually 3–7 days before the run, so the participant list is current. Print and check route arrows, direction signs and kilometre markers at least 2 days before the event, then pack them in route order.
