- Set the route and permissions first. Record the course, identify traffic points and check permit documents before opening registration, because route changes later affect signs, maps, safety plans and participant information.
- Give registration a firm closing date, ideally 7 to 10 days before race day. Use the final list to assign bib numbers, print the start list, collect dietary requirements and prepare luggage tags or storage labels.
- Create separate race-day zones for registration, the start, the finish, catering and luggage. Inspect the start and finish locations in advance and mark where tables, tents, barriers, bins and the start and finish arches will go.
- Prepare volunteer instructions by post, not just by shift. Make the schedule include route marshals, registration staff, finish support and refreshment points, with reflective vests, whistles and clipboards issued before briefing time.
