How to organise a prayer service
A prayer service runs best when the programme, people and room are prepared in that order. Start by confirming the room and expected attendance, then collect registrations and dietary requirements before finalising refreshments. Confirm speakers and readers early, because the programme and printed materials depend on them. On the day, set up the prayer and reading area first, then arrange seating, reception and refreshments so someone can welcome people while the final checks are completed.

Tips
- Confirm the room booking before sending invitations, and include parking information with the invitation so late arrivals do not interrupt the service. Keep a final registration count for refreshments and seating.
- Build the prayer programme around confirmed speakers and readers. Gather the Bible verses, select the music and songs, and send each participant their role and running order at least 7 days before the service.
- Print the programmes and prepare name badges only after registrations close. Print a few extra copies—about 5% of the expected attendance—and keep pens at the reception table.
- Set up the reading and prayer area before arranging the rest of the hall. Check the lectern, chairs, side tables, extension cords and power strips at least 60 minutes before people arrive.
- Prepare coffee, tea, fruit and cookies after the room inspection, not before. Chill drinks and place cups, plates, cutlery and serving utensils where helpers can find them without entering the prayer area during the service.
Frequently asked questions
- How far in advance should I plan a prayer service?
- Begin booking the room and confirming speakers 4 to 6 weeks ahead. Send invitations once the date, location and basic programme are settled, then close registrations about 7 days before the service.
- How many chairs do I need for a prayer service?
- Set out one chair for every confirmed attendee and add around 5 to 10% spare capacity. For 40 registrations, prepare 42 to 44 chairs so late registrations or guests can be seated without rearranging the room.
- When should I prepare the prayer programme?
- Draft the programme as soon as the speakers, readers and music are confirmed, ideally 2 weeks before the service. Print the final version 2 to 3 days beforehand so names, Bible references and timings can still be checked.
- How much coffee and tea should I prepare for a prayer service?
- For a reception of about 60 minutes, plan roughly 2 cups of hot drinks per person, with extra for the people serving. Prepare fruit and cookies for the confirmed attendance plus about 10% so the table does not run short.
