  • Confirm the speaker before sending invitations, and ask for the final presentation file no later than 48 hours before the lecture. Test that exact file on the event laptop rather than relying on the speaker’s device.
  • Plan registration for at least 30 minutes before the programme starts. Print the participant list, prepare name badges and place pens at the registration desk so arrivals do not form a queue.
  • Set up the projector, screen, laptop, HDMI cable, adapter, extension cords and power strips before the audience arrives. Leave 20 minutes to check the image, sound, microphone and slide transitions from the back of the room.
  • Order catering only after registrations and dietary requirements have been reviewed. Set up separate coffee and catering points, and chill drinks before guests arrive so the break does not become a serving bottleneck.
  • Open and ventilate the room at least 60 minutes beforehand, then arrange chairs, tables and the presentation table. Keep a clear route from the entrance to registration, seating, coffee and the exit; this is often forgotten when equipment is added late.
