How to organise a painting workshop from start to finish

A painting workshop needs more than canvases and paint. You need a clear schedule, enough table space, organised materials and a simple way to manage registrations and dietary requirements. Start with the venue layout and participant numbers, then plan the materials, catering and information guests need before arrival. On the day, allow time to cover workstations, prepare drinks and test the lighting before anyone picks up a brush.

Tips

  • Set the participant limit from the number of work tables and chairs, not from the room’s total capacity. Leave enough space between table easels for people to move, and keep a separate reception desk for check-in.
  • Order and count the painting supplies at least 7 days before the workshop. Plan one canvas, several brushes, a mixing palette and a water tub per participant, plus spare paper towels and paint for accidents.
  • Send the schedule and practical participant information 3 to 5 days beforehand. Include the arrival time, expected workshop length, clothing advice, dietary details for catering and how finished paintings will be protected with packaging cardboard.
  • Prepare the sample painting before the event rather than improvising the demonstration. Check that the chosen steps fit the available time, and place pencils, erasers and project labels where participants can reach them.
  • Open the venue at least 90 minutes before guests arrive. Set up and cover the tables first, then place the canvases and paint, chill drinks, prepare coffee and tea, and test the lighting and Bluetooth speaker before registration starts.

Frequently asked questions

How far in advance should I plan a painting workshop?
Confirm the date and location at least 4 to 6 weeks ahead, especially if you need tables, chairs or catering. Order art materials no later than 7 days before the workshop so you have time to replace missing items.
How much space does each painting workshop participant need?
Allow about 1.5 to 2 square metres per person when each participant has a canvas, table easel, paint and room to move their chair. Add a separate area for the buffet table, reception desk and finished paintings.
When should I send painting workshop invitations and information?
Send the invitation 3 to 4 weeks before the event and close registrations when your table capacity is reached. Send the final schedule, arrival instructions and dietary confirmation 3 to 5 days before the workshop.
How early should I arrive to set up a painting workshop?
Arrive at least 90 minutes before participants, or 2 hours if the venue needs furniture arranging. The extra time covers table protection, supply placement, coffee and tea, drinks, lighting and a final check of the sample painting.
