How to organise a night market without last-minute problems
Start with the date, site and layout before contacting vendors. A night market needs more than stalls and food: permits, power, lighting, payment equipment and deliveries all affect the running order. Confirm who is selling what, where each vendor will stand and how cables, queues and waste will be managed. Work backwards from opening time so registrations, supplier deliveries, signage and payment tests are finished before visitors arrive.

Tips
- Set the layout before booking stalls. Mark vendor spaces, entrances, queues, seating, power outlets and walkways on one floor plan, then send the final version to vendors before the event.
- Check permits and power early, not during setup. Map every outlet, calculate where extension cords and power strips are needed, and keep cables covered or secured so they do not cross walking routes.
- Close vendor registrations with enough time to collect dietary requirements and confirm menus. Send price and menu cards to print only after the vendor list and product details are final.
- Schedule deliveries and setup in separate time blocks. Receive stock first, sort non-perishables, then place tables, tents, lighting and serving equipment; leave time for a full site inspection before opening.
- Test every payment method before guests arrive. Run a card transaction, check the cash register, prepare petty cash and place flashlights, spare batteries and cable ties where the setup team can reach them.
Frequently asked questions
- How far in advance should I organise a night market?
- Start at least 8 to 12 weeks ahead. Use the first weeks for the date, location, permits and vendor recruitment, then reserve the final 7 days for confirmations, stock and setup planning.
- When should vendors receive the night market floor plan?
- Send it as soon as registrations close and no later than 7 days before the market. Include each booth position, arrival route, power point and any limits on equipment or space.
- How much lighting does a night market need?
- Plan a visible light source for every stall and each main walking route, then add backup LED lamps and batteries. Test the string lights, lamps and cable connections after dark or at least 2 hours before opening.
- When should I check card machines and cash boxes?
- Test card machines and the cash register on the event day, at least 2 hours before visitors arrive. Prepare petty cash and a backup payment plan before vendors begin serving.
