- Confirm the film and check screening rights at least 2 weeks before the event. A popular title may require permission, and changing films at the last minute affects invitations and equipment testing.
- Test the complete setup 1–2 days beforehand: laptop, projector, screen, HDMI cable or adapter, speakers, extension cords and power strips. Play the actual film for at least 10 minutes, including sound.
- Plan the room around the screen before setting out chairs. Leave a clear route to the coat rack and buffet table, and keep drinks away from extension cords and other equipment.
- Prepare the buffet in two stages: chill drinks and sort serving bowls the day before, then prepare fresh snacks shortly before guests arrive. Put plates, reusable cups or glasses, cutlery and serving spoons within reach.
