How to organise a Lights Night from start to finish

A Lights Night needs more than attractive lighting: guests must know where to go, the route must be safe, and every light and cable must work after dark. Start by confirming the date, location, permits and power supply, then build the site plan and light-walk route. After that, manage invitations, registrations, volunteers, food and drinks. Test the lighting and sound during daylight, and prepare a weather message before the forecast becomes a last-minute problem.

Tips

  • Confirm the route and site layout at least two weeks before the event. Mark entrances, exits, power points, tables, lighting features and cable crossings so volunteers can brief guests clearly.
  • Test every light, battery set, extension cord and power bank three to five days beforehand, then repeat a short check after sunset. Keep torches available for dark areas and equipment failures.
  • Assign volunteers in shifts of two to three hours rather than covering the whole evening with one person. Give separate responsibility for the route, registration, refreshments and safety checks.
  • Send the weather update no later than the morning of the event, with a final decision about tents, outdoor activities and the walking route at least four hours before guests arrive.
  • Chill drinks several hours before opening and prepare snacks in batches that can be replenished during the evening. Keep a separate reserve of drinks and serving supplies so the main table does not run empty.

Frequently asked questions

How far in advance should I plan a Lights Night?
Start planning at least six weeks ahead. Confirm the date, location, permits, suppliers and route first; send invitations once the essential event details are fixed.
How many volunteers do I need for a Lights Night?
Plan on one volunteer for each main operating point, plus two people for the route and floating help. For a small event, six to eight volunteers usually covers registration, refreshments, lighting checks and guest guidance.
When should I test the lights for a Lights Night?
Do a full equipment test three to five days before the event and check the setup again after dark on the day itself. This catches weak batteries, missing adapters and poorly lit route sections before guests arrive.
When should I send a weather update to guests?
Send a preliminary message the day before and a final update at least four hours before start time. Include whether the route, tents or outdoor programme will change and where guests should check for last-minute information.
