How to organise a lantern parade
A lantern parade needs more coordination than a simple walk: you are guiding people along a route, managing traffic, providing light and ending somewhere warm. Start with the route and permissions, then work backwards from the parade date to organise registrations, volunteers, equipment and refreshments. The final setup works best when lantern collection, safety checks and participant information are handled before people arrive. This plan gives you the practical order to follow and highlights the details that are often left too late.

Tips
- Set the route and starting point before inviting anyone. Walk the full route in daylight and again in low light, noting crossings, narrow sections, dark spots and the exact locations where route arrows or traffic posts will be needed.
- Begin permit applications and traffic notifications several weeks before the parade. Confirm whether traffic controllers or other traffic measures are required, rather than assuming volunteers can manage crossings themselves.
- Give volunteers fixed positions and simple communication tools. Assign people to the start, rear of the group, crossings, lantern pickup point and reception area, and provide walkie-talkies or a megaphone where mobile phone coverage may be unreliable.
- Check every lantern, lantern stick and LED tea light before the event, then keep spare batteries and flashlights at the start and along the route. Test portable speakers, the microphone, extension cords and power strips before participants arrive.
- Set up the reception tent, tables, chairs, drinks and snacks before the parade leaves. Chill drinks in advance, prepare hot water with kettles and thermos flasks, and keep reusable cups, coffee cups, plates and cutlery together at the serving point.
Frequently asked questions
- How early should I plan a lantern parade?
- Start planning at least 6 to 8 weeks before the event. Use the first two weeks to fix the route and starting point, check safety and begin permits or traffic notifications. Leave the final week for registrations, volunteer assignments, equipment checks and participant information.
- How many volunteers do I need for a lantern parade?
- For a small parade, plan on at least 1 coordinator, 1 person at the lantern pickup point, 1 person at the rear and 1 volunteer at each significant crossing. Add one volunteer for every 20 to 30 participants if the route has several turns, crossings or children walking in the group.
- When should participants receive the parade information?
- Send the practical information 5 to 7 days before the parade, then send a weather and meeting-point reminder 24 hours beforehand. Include the starting time, exact location, route length, lantern arrangements, clothing advice and the reception end point.
- How much lighting is needed for a lantern parade?
- Every participant should have one working lantern or lantern stick, with at least 10% spare LED tea lights or batteries. Bring several flashlights and work lights for the setup and keep emergency lighting at the front, rear and reception area rather than only at the starting point.
