How to organise a lantern parade
A lantern parade needs more coordination than a walk with lights. Start by fixing the date, checking the route and applying for permission before inviting people. Then secure the start and finish locations, arrange marshals and sound, and collect registrations so you know how many lanterns, volunteers and refreshments to prepare. The final week is for testing lights, checking signs, briefing volunteers and watching the weather forecast.

Tips
- Begin with the route, not the decorations. Walk it at the planned time, check crossings and narrow sections, and mark where marshals, barriers and information signs will be needed.
- Apply for the permit as early as your local authority requires; allow at least four weeks for a public route and do not send invitations until the route and meeting points are confirmed.
- Assign volunteers by position rather than asking for general help. Give each marshal a route section, test the walkie-talkies before the parade and provide a clear emergency contact number.
- Check every lantern and LED light before the event, including batteries and spare AA batteries. Test the lights at dusk or in a dark room, because weak lighting is easy to miss in daylight.
- Plan the start and finish separately. Put registration and lantern collection at the start, then prepare tables, cups, thermos flasks and coolers at the finish so people do not block the moving parade.
Frequently asked questions
- How far in advance should I plan a lantern parade?
- Start planning at least 8 weeks ahead. Use the first 2 weeks to fix the date, route and locations, and leave at least 4 weeks for permits, invitations and volunteer planning.
- Do I need a permit for a lantern parade?
- Usually, a parade using public roads or paths needs permission from the relevant authority. Apply at least 4 weeks before the event, or earlier if your local authority has a longer review period.
- How many volunteers do I need for a lantern parade?
- Plan for at least 1 route marshal at every crossing and 1 lead volunteer at the front and rear. For a group of about 50 people, start with 6 to 8 volunteers and add more for a longer or busier route.
- When should I check the lanterns and LED lights?
- Do a full test 3 to 5 days before the parade, then check the lights again on the day. Keep spare batteries and replacement LED lights ready before participants arrive.
