- Set a registration deadline at least two weeks before the market. Use the final list to create the floor plan, assign stall numbers and identify sellers who need power or extra space.
- Write the market rules before inviting sellers. Cover arrival and unloading times, stall dimensions, payment of the stand fee, prohibited goods and who is responsible for unsold items and rubbish.
- Walk through the venue with the floor plan before market day. Leave clear routes for shoppers and mark where tables, tents, clothing racks, power strips and cable mats will go.
- Send exhibitors their stall number, arrival time, parking or unloading instructions and contact details no later than three days before the event. Send a reminder the day before, including the latest weather forecast.
- Schedule separate setup and cleanup teams, with at least one person checking equipment and power before sellers arrive. Keep cash boxes, calculators, price tags, refreshments and cleaning supplies in clearly labelled crates.
