Set the route before writing the puzzles. Walk it once to check distances, hazards, mobile coverage and where each station can be marked with arrows, cones or signs.
Test-play every puzzle at least twice, including one run by someone unfamiliar with the answers. Record the expected solving time so teams do not bunch up at one station.
Prepare one waterproof package per team with clipboards, pens, puzzle sheets, answer cards and a route map. Label packages before participants arrive rather than sorting them at registration.
Send participant information at least 7 days ahead, including the meeting point, walking requirements, start time, weather advice and any dietary questions. Close registrations early enough to assign balanced teams.
