  • Confirm the route and permissions before sending invitations. Check the route in advance, publish a map, and allow time for traffic controllers, first aid coverage and any required permits or insurance.
  • Set a registration deadline that leaves at least 7 days to check the participant list, dietary requirements and costume sizing. Use the final list to prepare race numbers, straps and starter packs instead of assembling them at registration.
  • Plan costume handling as a separate station. Use clothes racks and clothing covers, label costumes by participant, and place this area away from the registration desk so changing does not block arrivals.
  • Mark the route before participants arrive, not during the start window. Put out route arrows, kilometre markers, cones and barriers, then give volunteers clipboards, pens, whistles and a simple traffic plan.
  • Test the finish setup the day before, including the finish arch, stopwatch, sound system, microphone and power. Bring extension cords, power strips, power banks and LED lamps because outdoor connections and late-finish visibility are easy to overlook.
