  • Set the registration deadline at least 7 days before the workshop. Use the final participant list to check seating, worksheets and drawing materials instead of preparing only for the number of people who first showed interest.
  • Plan the room in zones: reception at the entrance, worktables where participants can draw, and the presentation table and screen where everyone can see them. Leave clear access to extension cords and power strips.
  • Test the laptop, projector and presentation before participants arrive, and charge the equipment the night before. Bring presentation files on a USB stick as a backup in case the main device or connection fails.
  • Count drawing pencils, colored pencils, fineliners, black drawing pens, erasers and sharpeners by table rather than in one central pile. Add rulers and scissors to each working area so participants do not lose time searching for shared tools.
  • Open the room at least 45 minutes before the stated start time. Set out chairs, worksheets and materials first, then prepare the coffee and tea station and reception desk; late setup is most noticeable when arrivals are already waiting.
