  • Set a registration deadline at least 7 days before the camp. Use the final list to confirm parent details, emergency contacts, dietary requirements and consent forms, then print one participant list for reception and keep one backup.
  • Build groups only after registrations close. Give each group a named adult, a clear activity route and a manageable size; prepare name stickers before doors open so children can be identified immediately.
  • Finish the programme and rules before buying activity materials. Check every activity corner against the plan, including balls, cones, skipping ropes, hoops and relay batons, and remove anything that needs supervision you cannot provide.
  • Prepare food and drinks in a separate workflow from activities. Chill drinks before arrival, portion or label food for dietary needs, and set out cups, plates and serving utensils where children can reach them without entering the preparation area.
