How to organise a bootcamp from start to finish
A smooth bootcamp starts with the programme, not the equipment. Set the date, reserve the training venue and confirm the trainers before opening registration. Then collect participant details, prepare the session plan and arrange a weather backup. On the day, separate registration, training zones, refreshments and equipment so participants can move through the event without delays. This approach gives you a clear order for all 46 tasks and helps prevent the details that are often left until the last minute.

Tips
- Set the programme before sending invitations. Include the start and finish time, arrival time, training blocks and breaks, then give trainers a final version at least 7 days before the bootcamp.
- Plan for bad weather as soon as you book the main venue. Confirm an alternative training room and check the forecast 48 hours beforehand, rather than waiting until the morning of the event.
- Keep registration separate from the training area. Print the participant list, prepare name stickers and staff the desk at least 30 minutes before the advertised start time.
- Check every piece of sports equipment against the programme two days in advance. Group mats, kettlebells, dumbbells, resistance bands and other gear by training zone so setup takes less time.
- Work out hydration and catering before shopping. Set up water stations with reusable cups, chill drinks in coolers and confirm dietary requirements before finalising the food quantities.
Frequently asked questions
- How far in advance should I organise a bootcamp?
- Start planning at least 6 weeks before the event. Reserve the venue and confirm the trainers first, then open registration once the date and programme are fixed.
- When should I send bootcamp invitations?
- Send invitations 4 to 6 weeks before the bootcamp. Close or review registrations about 7 days beforehand so you can print the participant list, prepare name stickers and confirm catering needs.
- How early should I arrive to set up a bootcamp?
- Allow at least 2 hours for setup, plus 30 minutes for registration before participants arrive. This gives you time to mark training zones, connect the speaker, place equipment and set up water stations.
- How much water do I need for a bootcamp?
- Plan at least 1 litre of drinking water per participant for a standard session, and more for hot weather or sessions longer than 90 minutes. Put the water jugs and cups in clearly marked stations before training begins.
