  • Set the sales target and opening hours before promoting the fair. Use the target to decide how many volunteers, tables and payment points you need, and publish the registration details at least two weeks in advance.
  • Give book donations a clear deadline, ideally 7–10 days before the fair. This leaves time to reject damaged copies, separate children’s and special books, and sort the rest by genre instead of doing it during setup.
  • Use one pricing system across every stall. Prepare price cards and a sales overview before opening so volunteers can answer questions quickly and cash or card payments can be checked against the final totals.
  • Plan the room on paper before moving furniture. Leave a clear route between tables and shelves, place genre cards where they can be seen from the entrance, and put directional signs at every turn or change of area.
  • Test the payment terminal, extension cords and power strips before the event starts, not when the first customer arrives. Set up coffee equipment, cups, glasses and serving items in a separate refreshment area so queues do not block the book stalls.
