  • Set the quiz format before writing questions. Decide how many rounds you need, how teams or individuals will answer, and how much time each round gets; this determines the length of the presentation and the number of answer forms and quiz booklets to print.
  • Check every answer and explanation with a second person before finalizing the quiz. A short review at least one week before the event gives you time to replace ambiguous questions and update the presentation and printed materials together.
  • Close registrations early enough to update the participant list and prepare name badges. A deadline of 3–5 days before the quiz leaves time to collect dietary requirements and arrange enough chairs, pens and refreshments.
  • Test the presentation, projector, screen, speaker and microphone in the actual room before participants arrive. Check extension cords and power strips as well; a working laptop is not enough if the screen or sound cannot be positioned safely.
  • Treat refreshments as a separate setup job. Chill drinks before guests arrive, prepare coffee and hot water in advance, and put out glasses, cups, plates and cutlery only after the tables and registration desk are in place.
