Tips
- Allow two to three drinks per player for the first four hours, plus extra water if the forecast is warm. Chill the first batch before players arrive and keep a separate supply available on the course.
- Prepare at least one scorecard, scorecard holder and pencil for every player, plus 10% spare copies. Pack golf balls and tees in small batches so volunteers can restock the starting area quickly.
- Order prizes and cups at least two weeks before the tournament if they need engraving or custom details. Keep the prize money, awards and competition paperwork together until the presentation.
- Plan one chair per seated guest and one table for every 8β10 people at the catering area. Add high tables for players who want to eat or talk briefly without sitting down.
- Have one cooler or drinks station for each main gathering point, and provide umbrellas for roughly 1 in 4 players when rain is possible. Check that tents, waste bins and food warmers can be delivered before setup begins.
Frequently asked questions
- How many golf balls and tees do I need for a tournament?
- Provide at least one sleeve of three golf balls per player, with 10β20% extra for losses and replacements. Plan around 10 tees per player, or more if the format includes several rounds.
- How much food and drink should I buy for a golf tournament?
- For a four-hour tournament, plan two to three drinks per player, including water, and one substantial meal or meal box per person. Add 5β10% extra portions so late arrivals, volunteers and dietary requirements are covered.
- How many scorecards should I print?
- Print one scorecard per player or playing group according to your scoring format, then add at least 10% spare copies. Prepare them no later than the day before, and place them in holders with pencils before registration opens.
- When should I order golf carts, catering and prizes?
- Reserve golf carts and catering at least four weeks ahead when the player count is known. Order prizes and cups at least two weeks before the event, and confirm quantities and dietary requirements one week before the start.
