Free market checklist: what to arrange and when

A free market depends on more than inviting sellers and putting out tables. You need to confirm the venue, permissions, trading rules and vendor numbers before you draw the layout or assign places. On the day, access, loading, visitor routes, cash handling, signs, weather protection and power all need a clear plan. Use the full checklist to work from early registrations through setup, opening and cleanup without leaving practical details until the last minute.

Tips

  • Set a registration deadline before sending invitations, then confirm every vendor and assign a standing place before sharing the layout. Leave enough time to update the plan when cancellations or late registrations change the route.
  • Decide how vehicles enter, unload and leave before the market opens. Mark a separate parking and loading area, and send vendors their access instructions with the layout rather than explaining them at the gate.
  • Check the forecast twice: once a few days before and again on the morning itself. Party tents, ground tarps, storage crates and transport carts are easy to overlook until rain, wind or a muddy surface slows setup.
  • Prepare the information table before visitors arrive, including the printed vendor list, route and directional signs, and a way to answer questions. Put standing-place signs out after inspecting the grounds so the layout matches the actual space.
  • Test every powered item before setup is finished, including coffee machines, kettles, extension cords and power strips. Count cash into the cash boxes, chill drinks in advance, and keep the first aid kit, flashlights and communication equipment accessible.

Frequently asked questions

How far in advance should I organize a free market?
Start at least 6 to 8 weeks before the market. Confirm the venue, times and any required permission first, then open vendor registration and set a clear deadline for applications.
How do I assign spaces at a free market?
Process registrations before assigning places, then draw the layout around the visitor route, entrances, loading area and available tables. Send the final layout and standing-place details to vendors at least 3 to 5 days before the event.
What should I prepare for a free market in bad weather?
Check the forecast several times and prepare party tents, ground tarps and storage crates before the day. Make the weather decision at least 24 hours ahead, while still checking conditions again before setup.
When should vendors arrive at a free market?
Give vendors a specific arrival and unloading window, usually 60 to 90 minutes before visitors are admitted. Keep the loading area clear during that period, then close vehicle access before the market opens.
