- Set the tournament format before opening registration. Decide how many teams each group can hold, how long matches last and how teams qualify, then use those choices to build the schedule.
- Reserve the pitch and changing rooms early, and check power access before the event. Power may be needed for equipment, refreshments or a scoreboard, while changing-room capacity determines how teams are organised.
- Close registrations before publishing groups and fixtures. Allow at least 3–5 days between the registration deadline and match day to check contact details, collect dietary requirements and resolve team changes.
- Prepare one printed set of match forms and group sheets for each playing area, plus spare copies. Give referees watches, whistles and cards, and assign a named volunteer to collect completed forms after every match.
