- Confirm the food bank’s accepted items and delivery requirements before promoting the drive. Share those rules with volunteers and donors so unsuitable or damaged food is not collected.
- Set volunteer shifts early and assign at least one person to each collection point, plus extra help for loading. Send shift times and instructions several days before the event rather than on the morning itself.
- Record every collection point and build the transport route before collection day. Allow extra time for loading boxes and crates, especially if donations must be weighed or sorted before departure.
- Prepare signs, arrows and collection instructions before opening the venue. Place the registration desk, donation boxes and information boards so visitors can understand where to go without asking a volunteer.
