- Set the date and venue before inviting sellers, then check permits and insurance requirements early; allow at least four weeks for approvals or policy changes.
- Close seller registration before assigning spaces. Send each participant their stall number, arrival instructions, selling conditions and any dietary information at least one week ahead.
- Draw the floor plan before collecting furniture. Mark stalls, entrances, exits, refreshment points and power access, then label tables, market stalls, clothing racks and other equipment by stand number.
- Prepare payments at least one day before opening: test the card machine, bring a separate float for change, and keep extension cords and power strips away from public walkways.
- Do not leave refreshments and signage until the last hour. Chill drinks, prepare the coffee and tea point, fill numbered bags, and place signs and arrows before sellers arrive so setup stays orderly.
