First Aid Training Day Checklist
A first aid training day needs more than an instructor and a suitable room. You must coordinate registrations, dietary requirements, course materials, practical stations, presentation equipment and certificates in the right order. This checklist takes you from reserving the course room to receiving participants on the day. It also highlights details that are often left until the last minute, such as testing the screen, chilling drinks and setting up separate adult, child and baby CPR practice areas.

Tips
- Book the instructor and reserve the course room before sending invitations. Once registrations open, collect dietary requirements at the same time so catering can be ordered with accurate numbers.
- Confirm the participant list and course program several days before the training day. Use the final list to prepare name badges, course books, worksheets, pens and certificates without guessing quantities.
- Test the laptop, projector, projection screen, presentation remote, extension cords and power strips before participants arrive. A working presentation setup is not enough if the cables do not reach the tables.
- Create clearly marked practice stations for CPR, AED use, bandaging and wound scenarios. Place the adult, child and baby CPR mannequins where participants can work in small groups instead of waiting for one station.
- Open and ventilate the room before reception starts, then set out coffee, tea, chilled drinks and catering. Keep the reception table ready with name badges so check-in does not delay the course start.
Frequently asked questions
- How far in advance should I book a first aid instructor?
- Book the instructor as soon as you have a likely training date, preferably at least 4 to 6 weeks beforehand. This gives you time to reserve the room, open registrations and order the correct course materials.
- How many CPR mannequins do I need for a first aid training day?
- Plan the number of mannequins around your group size and practice format, with one practical station for each small group where possible. Include adult, child and baby mannequins if all three are part of the course program.
- When should I order catering for first aid training?
- Order catering after registrations close or after you set a firm participant deadline, usually 5 to 7 days before the course. Confirm dietary requirements before placing the final order and include the instructor in the headcount.
- What should I prepare the day before first aid training?
- Prepare certificates, name badges, course books, worksheets and the presentation at least one day before. Also check the practice AEDs, bandages, training wounds, safety vests and every cable needed for the presentation.
