What to Bring for a Farm Visit
A farm visit needs more than food and drinks. You also need practical supplies for outdoor dining, changing weather, farm activities and a clean, safe setup. Use the confirmed participant list to calculate portions, then check whether the farm already provides tables, chairs, cooking equipment or animal feed. Buy chilled items as close to the visit as possible, and pack printed programme details, name badges and route information so guests know where to go and what to expect.

Tips
- Plan around two to three drinks per person for the first hour, then about one drink per person for each additional hour. Keep extra water available, especially if guests will be walking or working outdoors.
- Allow one reusable plate, bowl, glass and cutlery set per guest, plus at least 10% extra. Extra tableware prevents delays when used dishes cannot be washed immediately.
- Pack coolers for drinks and perishable food, and take enough ice or freezer packs to keep them cold during transport. Do not rely on the farmβs refrigerator unless this has been agreed in advance.
- If food will be served outdoors, bring serving platters, serving spoons, cutting boards, knives and food warmers. Arrange cooking fuel, gas cylinders and extension cords before the visit rather than on the day itself.
- Bring waste bins, buckets, sponges and cleaning supplies for the eating area. Farm entrances and parking areas can be muddy, so check the forecast shortly before the visit and add practical outdoor protection if needed.
Frequently asked questions
- What food and drinks do I need for a farm visit?
- Use the final participant count to calculate portions, and plan two to three drinks per person for the first hour plus one per person for each later hour. Include water, food for dietary requirements and enough chilled storage for perishable items.
- How much tableware should I bring for a farm visit?
- Pack one plate, bowl, glass, coffee cup and cutlery set per person, plus 10% extra. For 30 guests, that means at least 33 of each reusable item where possible.
- When should I buy supplies for a farm visit?
- Buy shelf-stable goods and cleaning supplies two to three days beforehand. Purchase fresh food one day before, and chill drinks and other perishable items at least several hours before guests arrive.
- What should I bring if the farm visit is outdoors?
- Bring a party tent, tables, chairs, coolers, waste bins and lighting if these are not supplied on site. Check the weather 24 to 48 hours beforehand and confirm where the tent, cooking equipment and extension cords may be placed.
