Family tournament shopping list
A family tournament needs more than balls and team shirts. You also need clearly separated equipment for matches, serving items for the cafeteria, drinking glasses, water jugs and a way to keep team information together. Use the quantities in your plan as your starting point, then check them against the final participant count before shopping. Do this at least two or three days before the tournament so missing items can still be borrowed, bought or collected.

Tips
- Count participants, referees and volunteers separately before buying drinks and food. The final number often changes after registrations close, so update the shopping list when you share the final numbers.
- Pack sports equipment by function: match balls, cones, mini goals, bibs, whistles, stopwatches and scoreboards. Checking each group against the match schedule prevents a shortage when several games run at once.
- Keep team shirts sorted by colour and size, preferably on the clothing rack before participants arrive. Put the shirts and team assignments together rather than handing them out from separate boxes.
- Prepare the cafeteria serving kit as one set: tablecloth, serving platters, serving spoons, small bowls, reusable plates, cutlery, coffee cups and tea glasses. These are easy to forget when the focus is on the tournament equipment.
- Chill drinks before leaving for the venue and fill the water jugs shortly before play starts. Bring reusable drinking glasses and a first aid blanket with the sports equipment instead of leaving them in the cafeteria supplies.
Frequently asked questions
- What should I buy for a family football tournament?
- Plan for footballs, cones, marker cones, mini goals, training bibs, whistles, stopwatches and scoreboards. Add team shirts in each assigned colour, plus competition folders and printed schedules for the organisers.
- How many drinks do I need for a family tournament?
- Use the confirmed number of participants, referees and volunteers as your base, then allow at least two drinks per person for the first hour and one additional drink per person for each following hour. Keep extra water available if the weather is warm.
- When should I do the shopping for a family tournament?
- Complete the main shopping two or three days before the event. Buy or collect chilled and perishable items no later than the day before, then chill the drinks and check the full list on the morning of the tournament.
- What tableware is needed for the tournament cafeteria?
- Prepare reusable drinking glasses, plates, cutlery, coffee cups, tea glasses, serving platters, serving spoons and small bowls. Match the quantity to the final guest count and add enough pieces for one full serving round without immediate washing.
