  • Close registrations before finalising the menu. Use the confirmed guest list and collected dietary requirements to calculate meat, salads, desserts and suitable alternatives instead of guessing from invitation numbers.
  • Reserve charcoal barbecues early and check how many people each grill can serve at once. Also confirm that you have charcoal starters, barbecue tongs and a safe place to operate the grills outdoors.
  • Set up the party tent, tables and chairs before preparing the buffet. Allow at least 60–90 minutes for outdoor setup, especially when you are also adding tablecloths, labels, decorations and lighting.
  • Keep raw meat refrigerated until it is ready for the grill, and use separate cutting boards or storage boxes for prepared vegetables and cooked food. Do not leave meat at room temperature while guests arrive.
