Tips

  • Send invitations early enough to collect sign-ups and dietary requirements before you shop. Set a clear reply deadline at least 7 days before the quiz so you know how many teams, seats, snacks and drinks to prepare.
  • Finish the quiz structure before printing anything. Check every question and answer, prepare the scoring system, select music clips and print spare answer forms so one missing page does not delay a round.
  • Test the laptop, projector, screen, speakers, microphone, extension cords and presentation remote at the venue before guests arrive. A full sound and display check 60–90 minutes beforehand gives you time to replace or reposition equipment.
  • Prepare the room in a fixed order: tables and chairs first, then team name card holders, the quiz and presentation tables, decorations and tableware. Leave a clear route to the coffee, snacks and drinks so teams can move without interrupting the quiz.
  • Chill drinks and prepare snacks before registration starts. Keep coffee and tea equipment ready separately, and place pens, answer paddles, the stopwatch and the quiz materials at the quiz table so the host is not searching during a round.
