Tips

  • Plan one playable instrument per participant where possible, then add a few shakers, claves or other small percussion items for rotation and warm-up exercises.
  • Allow roughly two to three drinks per person for the first hour, then add water and hot drinks for the rest of the workshop. Chill drinks before participants arrive rather than relying on a last-minute ice run.
  • Match tableware to the headcount and add about 10% extra plates, cups and cutlery. Serving platters, serving spoons, chopping boards and kitchen knives are easy to overlook when preparing snacks on site.
  • Test the full audio chain at least 60 minutes before the workshop: microphones, stands, mixer, active speakers, audio cables, power strips and extension cords all need to work together.
  • Reserve or borrow specialist instruments and sound equipment as soon as registrations start. A laptop and timer are useful for the music program, but they do not replace a complete set of cables and power connections.
