- Prepare one complete drawing set per participant: A4 paper, a graphite pencil, an eraser, a sharpener, a ruler and access to coloured pencils or fineliners. Add 10% extra basic tools if the group is larger than 10 people.
- Provide both A4 and A3 drawing paper if the workshop includes demonstrations or larger exercises. Keep the A3 sheets on the presentation table so participants do not use them before the relevant activity.
- Set out one worksheet and one name card for every registered participant, plus 2–3 spare copies. Print the worksheets before shopping for missing materials so the final quantity matches the programme.
- Cover every working table before placing the drawing materials down. Put pencils and fineliners in pencil cups, and provide at least one sharpener and one eraser per table for shared backup.
