Tips

  • Allow one registration table, enough name badges for every participant and a few extras, and a clear place for the updated participant list. Keep USB sticks, chargers and printed run sheets at registration so last-minute changes are easy to handle.
  • For each active debate room, provide a stopwatch and visible clock, jury forms, seating, and a jury table. If several debates run at once, do not rely on one shared timer or one laptop.
  • Count microphones and speakers by room, then add extension cords, power strips, HDMI cables and spare batteries. Test every laptop-projector combination before the competition rather than discovering a missing adapter during the first round.
  • Buy catering for the confirmed participant and guest count, including coffee cups, glasses, plates, cutlery and serving platters. Keep extra cups and drinks available for judges and organisers who stay after the audience leaves.
  • Order prizes and print certificates early enough to check names and categories. Pack them separately by round or award, with a small reserve of blank certificates in case the participant list changes.
