  • Confirm film rights before announcing the programme. Rights checks and film purchases or reservations can take longer than expected, so do this before sending invitations.
  • Close registrations early enough to act on the numbers. Collect dietary requirements with registrations, then use the final list to plan snacks, drinks, cups, plates and serving equipment.
  • Test the complete setup at least twice: once before the event and again after the projector, laptop, HDMI cable, speakers and power connections are in place. Keep spare batteries and extension cables ready.
