Cycle race checklist: what to arrange and when

A cycle race needs more than a marked route and a starting line. You need permits, a traffic plan, first-aid cover, timing, insurance, volunteers, rider information, and equipment ready before race day. Start with the competition format and categories, then secure the course and operational support before opening registration. This checklist follows that order and covers the details that are often left until the final week, including bibs, route signs, barriers, spare bike supplies, power, and finish-line equipment.

Tips

  • Confirm permits, the traffic plan, competition insurance, and first-aid coverage before publishing registration. These approvals and bookings can take longer than ordering race materials.
  • Walk or ride the full course at least once after placing the route plan. Check crossings, narrow sections, hazards, signage positions, barrier locations, and every point where traffic controllers will be needed.
  • Prepare rider information before confirmations go out: category, start time, course details, arrival instructions, dietary requirements, and what participants must bring. Recheck participant details before printing race numbers.
  • Test timing, the laptop, printer, microphone, speakers, walkie-talkies, extension cords, power strips, and power banks at least one day before the race. Bring spare bike pumps and inner tubes to handle common mechanical problems.
  • Brief volunteers and traffic controllers with fixed positions, contact methods, escalation instructions, and reporting times. Set up tables, chairs, tents, barriers, bicycle racks, the finishing cloth, and stage blocks early enough to leave time for a course check.

Frequently asked questions

How far in advance should I organise a cycle race?
Start planning at least 8 to 12 weeks before race day. Apply for permits, submit the traffic plan, arrange insurance, and reserve first aid, timing, traffic controllers, the starting location, barriers, and tents before opening registration.
What equipment do I need for a cycle race?
Plan for course equipment such as route arrows, ribbon, cones, flags, barriers, bicycle racks, and a finishing cloth. Also prepare timing and communication equipment, tables and tents, bibs, spare pumps, spare inner tubes, and power supplies.
When should I print cycle race numbers and the programme?
Print them after participant details and categories have been checked, normally 3 to 7 days before the race. Keep a small number of blank or spare bibs available for late corrections or replacements.
How many volunteers are needed for a cycle race?
The number depends on the course, but assign at least one person to every traffic-control point and separate people for registration, timing, finish support, rider assistance, and general coordination. Finalise positions and send the briefing at least 48 hours before the start.
