Council Committee Meeting Checklist

Use this checklist to organise a council committee meeting from the first room booking to the formal opening. It covers public notices, invitations, registrations, dietary requirements, agenda papers, speakers, voting materials, room layout and technical checks. The details that cause last-minute problems are usually simple: missing presentations, untested microphones, unlabelled badges or documents that were printed too late. Work through the plan in order and assign an owner and deadline to each task.

Tips

  • Publish the meeting date and public items early enough for people to register, then set a clear closing time for registrations. Use the final registration list to prepare name badges, attendance records and dietary information.
  • Finalise the agenda before printing meeting documents. Collect every presentation from speakers at least 24 hours beforehand so the laptop and projector can be tested with the actual files.
  • Check every microphone, microphone stand, speaker, amplifier, projector, screen, extension cord and power strip in the room at least 60 minutes before arrivals. Keep a spare connection route available rather than discovering a fault when the meeting starts.
  • Set up tables, chairs, the lectern and coat racks before laying out documents. Put voting cards, pens, notepads, minutes folders and clipboards where they will be used, with extra printer paper available for urgent copies.
  • Order catering against the confirmed attendance and dietary requirements, and set out coffee cups, glasses, plates, cutlery, coffee pots, thermos flasks and kettles before the first break. Open the hall early enough to welcome speakers and guide arrivals without delaying registration.

Frequently asked questions

How far in advance should a council committee meeting be announced?
Publish the meeting date and public items as soon as the details are confirmed, following your council’s required notice period. Set the registration deadline several days before the meeting so attendance, dietary requirements and name badges can be finalised.
When should council meeting papers be printed?
Print the final meeting documents after the agenda and presentations are complete, preferably at least 24 hours before the meeting. Keep printer paper and a printer available for late amendments or replacement pages.
How early should the room be opened for a council committee meeting?
Open the hall at least 60 minutes before the scheduled start. This gives the team time to arrange tables and chairs, connect and test the equipment, set out documents and catering, and welcome speakers.
How do I prepare equipment for a council committee meeting?
Test the laptop, projector, projection screen, microphones, amplifier and speakers at least 60 minutes before attendees arrive. Check extension cords and power strips as part of the same test, using the presentations that will actually be shown.
