Club night checklist: what to arrange and when

A club night needs more than a venue and a playlist. You need a clear guest process, tested sound and lighting, an entrance setup, drinks and snacks, and a room layout that works when people arrive. Start with the venue and registrations, then confirm access rules, music, equipment, and dietary needs. In the final hours, focus on shopping, chilling drinks, preparing food, testing cables, and setting up the bar, cloakroom, and entrance desk.

Tips

  • Book the venue before opening registrations, then set a firm registration deadline. Use the final guest count to plan seating, cups, snacks, dietary options, and the size of the entrance desk.
  • Test the complete audio chain at least 24 hours beforehand: laptop, mixer, speakers, microphones, cables, extension cords, and power strips. A cable that works alone can still fail once the whole system is connected.
  • Create the floor plan before bringing in tables and chairs. Leave a clear route from the entrance to the cloakroom and dance floor, and keep cables covered with cable mats rather than running them across walkways.
  • Do the shopping after registrations are finalized, not before. Chill drinks several hours ahead, prepare snacks before doors open, and keep serving platters, utensils, cups, and waste bins where staff can reach them quickly.
  • Set up the entrance desk, access signs, cloakroom, bar, and buffet before the sound check. Keep spare hangers, painter’s tape, charging cables, and a broom available; these are easy to forget and often needed during the night.

Frequently asked questions

How far in advance should I organize a club night?
Reserve the venue and set the date at least 6–8 weeks ahead. Send invitations soon after, and close registrations early enough to finalize food, drinks, furniture, and access arrangements.
When should I finalize the guest list for a club night?
Set the registration deadline 7–10 days before the event. Use the final number to confirm dietary requirements, prepare the shopping list, and decide how many cups, plates, chairs, and coat hangers are needed.
How early should I set up the sound system and lights?
Open the venue at least 3 hours before guests arrive for tables, chairs, the bar, lighting, and sound. Start the full equipment test no later than 60 minutes before doors open, with the final playlist ready.
How many drinks should I plan for a club night?
As a starting point, plan 2–3 drinks per person for the first hour and 1–2 drinks per person for each additional hour. Add non-alcoholic options and allow extra time for chilling drinks before the event.
