Clothing fair checklist: what to arrange and when

A clothing fair needs more than tables and rails. You need to coordinate sellers, assign table numbers, prepare changing rooms, organise payments and make it easy for visitors to find the right area. Start with the date, venue and seller terms, then move through registration, layout and printed materials. On the day, allow time to check the floor, position mirrors and racks, set up the registration desk and prepare coffee and tea before doors open.

Tips

  • Confirm the venue layout before inviting sellers. Measure the available floor space and leave clear routes between tables, clothing racks, mirrors and changing-room screens.
  • Set a firm seller-registration deadline at least 7 days before the fair. You need the final seller list to assign table numbers, print the vendor list and prepare signage.
  • Prepare payment supplies the day before. Test the payment terminal, count the cash box and arrange enough change so sellers are not delayed at the registration desk.
  • Label clothing areas before sellers arrive. Make the clothing sorting labels and price tags in advance, then keep spare labels available for items added during setup.
  • Plan the final setup with at least 90 minutes before opening. Check the hall floor, place tables and racks, add chairs and changing-room benches, position mirrors, and prepare the coffee and tea station.

Frequently asked questions

How far in advance should I organise a clothing fair?
Start planning at least 6 to 8 weeks before the event. Confirm the date and location first, then allow time for seller terms, invitations, registrations, table assignments and printed materials.
How much space do I need for a clothing fair?
Allow roughly 2 metres of table or rack frontage per seller, plus clear walkways and room for changing areas. Final space depends on the number of sellers, tables, racks and fitting rooms in your plan.
When should clothing fair sellers receive their table numbers?
Send table numbers 3 to 7 days before the fair, once registrations have closed. Print a matching vendor list and table signage so sellers can find their place without holding up setup.
How early should I set up a clothing fair?
Allow at least 90 minutes for setup, and 2 hours if the venue needs many racks, mirrors or changing rooms. Set up the registration table and signage before preparing refreshments, so the entrance is ready first.
