  • Check the route at least once in daylight and mark every rest stop before invitations go out. Allow extra time for crossings, hills and any section where marshals will need to slow riders down.
  • Send parent information before the event and include the route, meeting time, emergency numbers, required helmet guidance and what happens if a child or bike cannot continue. Close registration early enough to print the participant list and sort wristbands and bib numbers.
  • Prepare a small repair point with pumps, spare inner tubes, tyre levers, multi-tools and a repair stand. Check the bikes and helmets before departure, then restock repair materials after the inspection.
  • Plan drinks and snacks by stop rather than leaving everything at the start. Chill the drinks in advance, use reusable cups, and keep dietary requirements next to the final registration list so volunteers can act on them.
  • Bring signs, cones, marshal vests, walkie-talkies, whistles, first aid kits and spare helmets to the venue together. Put out route arrows and traffic materials before participants arrive, then test the speaker, microphone, lights and extension leads.
