  • Inspect the water venue and route before opening registration. Check launch points, landing areas, water conditions and where you can mark a safety zone with barrier tape and marker buoys.
  • Set a registration deadline that leaves at least 7 days for processing names, dietary requirements, emergency contacts and group allocation. Send participant information only after these details are confirmed.
  • Confirm the equipment booking 3–5 days before the clinic. Count canoes, paddles, life jackets and helmets, and include spare paddles, throw lines, life rings and paddle floats in the check.
  • Make the weather decision at least 24 hours before the start time. Tell participants what happens if conditions change, and keep walkie-talkies, flashlights and phones charged before equipment leaves for the venue.
