Camping weekend checklist: what to arrange and when
A camping weekend needs more preparation than simply bringing tents and sleeping bags. You need a reserved campsite, confirmed participants, transport, food planning and a clear arrival process. Start with registrations and dietary requirements, then arrange the campsite and travel before checking every tent, cooking item and game material. Use the final week to share practical information, prepare luggage labels and confirm the weather. On arrival, register everyone, explain the site rules and set up camp in a fixed order.

Tips
- Reserve the campsite before finalising the participant list, then confirm the maximum number of people, available facilities and arrival time at least 2 weeks before departure.
- Collect dietary requirements when people register and turn them into a shopping list. Keep chilled products in coolers from the shop until the cooking team can use them.
- Check every tent, pole, ground tarp and sleeping setup at least 7 days before leaving. Pitch each tent once if possible, especially when equipment has been stored since last season.
- Share the starting point, departure time, transport plan, packing information and emergency contact details no later than 3 days before the weekend. Add luggage tags before loading bags.
- Plan arrival in two stages: register attendance first, explain the site rules second, and then assign people to set up tents. Allow at least 60 minutes for unloading and campsite setup.
Frequently asked questions
- How far in advance should I organise a camping weekend?
- Start planning 6 to 8 weeks in advance. Reserve the campsite and send invitations first; confirm registrations, dietary requirements and transport during the following 2 weeks.
- How much food should I buy for a camping weekend?
- Plan every main meal and breakfast for the full number of registered participants, plus about 10% extra for unexpected arrivals or larger portions. Buy chilled food as late as possible and keep it in coolers.
- When should I check camping equipment before leaving?
- Check tents, poles, sleeping gear, cooking equipment and game materials 7 days before departure. This leaves enough time to replace missing items or repair a tent before loading.
- How long does setting up a camping weekend take after arrival?
- Allow 60 to 90 minutes for attendance registration, site rules, unloading and pitching the tents for a group of around 20 people. Add more time if the campsite is spread out or the equipment is shared between vehicles.
