  • Publish the booth layout before the event and give each pitch a number. Prepare booth number cards and name stickers so exhibitors can find their assigned space without stopping the setup team.
  • Plan at least 2 hours for site setup before opening. Put up the tents first, then tables, chairs, stall markers, lighting and directional signs; this avoids moving furniture after sellers have unpacked.
  • Check the weather forecast 3 days before the market and again on the morning itself. Keep tents, extension cords, power strips and coolers positioned so rain and pedestrian traffic do not create hazards.
  • Work out cash arrangements before invitations go out. Exchange cash in advance, place a cash box and calculators at the sales table, and tell exhibitors whether they should bring change for their own stalls.
  • Order catering only after registrations and dietary requirements are collected. Set up the coffee station with thermos flasks, water jugs, reusable cups and tableware, and place waste bins where visitors actually eat and drink.
