What you need for a book fair
A book fair needs more than donated books and a few tables. You will need sturdy surfaces for sorting and selling, crates or boxes for transport, clear price displays, payment equipment and signs that guide visitors through the venue. If you are serving coffee or tea, plan the serving equipment separately so it does not get mixed up with sales supplies. This checklist helps you buy or bring the items that are easiest to overlook.

Tips
- Plan one transport crate or book box for each manageable load of books, rather than filling large boxes until they are too heavy to carry. Label boxes by genre before loading them.
- Allow at least one table for each active selling area and keep a few extra chairs for sellers and visitors. Add bookshelves or market stalls where books need to stay visible without being stacked too high.
- Test the payment terminal before opening and bring extension cords and power strips if the venue has limited sockets. Keep a cash-handling backup ready if card payments or power fail.
- Prepare one visible price holder or price list for every sales table. Direction signs should be placed at the entrance, turns and registration or payment points, not only beside the main display.
- For a small refreshment area, count cups and glasses for the busiest hour rather than the whole event. Bring thermos flasks, serving trays and basic washing-up supplies so coffee and tea service can continue without a sink nearby.
Frequently asked questions
- What do I need to bring to a book fair?
- Bring tables, book boxes or transport crates, price holders, price lists, payment equipment and direction signs. For refreshments, add cups or glasses, thermos flasks and serving supplies. Pack these at least one day before the fair.
- How many tables do I need for a book fair?
- Plan roughly one selling table per active sales area, then add one table for payment or refreshments if those are separate stations. Leave enough space for visitors to pass between tables and browse without moving boxes.
- How many boxes do I need for donated books?
- The number depends on the collection, but use several small boxes instead of a few oversized ones: each box should be liftable by one person. Sort and label them by genre before transport so setup takes less time.
- What should I arrange before the book fair?
- Check the venue, power supply and payment method at least one week beforehand. Confirm tables, chairs, stalls, signs and refreshments a few days before the event, then test the payment terminal and pack the equipment the day before.
