Bingo night checklist: what to arrange and when

A bingo night runs smoothly when the game materials, prizes and room setup are ready before guests arrive. Set the date and programme first, then collect registrations and dietary requirements while you order prizes and prepare the rounds. On the day, allow time to check the 1–75 bingo balls, bundle cards with markers, chill drinks and set up the tables. This checklist keeps the practical jobs in the right order, from booking the room to opening the hall.

Tips

  • Plan the programme before sending invitations, including the number of bingo rounds, breaks and prize moments. This gives guests a clear finish time and tells you how many cards and prizes to prepare.
  • Check the bingo cage, all 75 balls, the microphone, speaker and music player at least one day before the event. Test extension cords and power strips in the actual room rather than discovering a connection problem during the first round.
  • Prepare cards and markers in individual bundles before doors open, and keep reserve bingo cards at the bingo table. A separate set prevents registration delays when someone loses a card or an extra guest arrives.
  • Finish the prize table before guests enter: sort prizes by round and place prize ribbons where winners can see them. This avoids stopping the game while someone searches through unsorted prizes.
  • Set up refreshments after the main furniture is in place, with coffee, tea, cold drinks and snacks ready before registration begins. Put serving tongs, cups, plates and teaspoons at the stations so guests do not queue at the registration desk.

Frequently asked questions

How early should I start organising a bingo night?
Start at least 3 to 4 weeks before the event. Book the room and set the date first, then send invitations, process registrations and order prizes with enough time for delivery and dietary information.
How many bingo balls do I need for a bingo night?
Use one complete set of 75 bingo balls for a standard 1–75 game. Check that every number is present at least 1 day before the event, and keep the bingo cage and calling setup together at the bingo table.
When should I prepare bingo cards and markers?
Bundle bingo cards with markers on the day before the event or at least 2 hours before guests arrive. Keep reserve cards ready at registration so replacements do not interrupt a round.
How long does it take to set up a bingo night?
Allow about 2 hours for the room setup, including tables, chairs, registration, bingo and prize tables, refreshments and decorations. Add extra time if the microphone, speaker or power connections still need testing.
