What you need for a bike challenge

A bike challenge needs more than bikes and a marked route. You will need supplies for registration, route guidance, rider identification, repairs and the finish area, plus practical equipment for volunteers. Quantities depend on your participant target, but ordering early prevents common gaps such as missing inner tubes, too few route signs or no power at the start. Use this list to check what must be bought, hired or brought from storage before event day.

Tips

  • Plan one route sign for every decision point, junction or hazard, then add roughly 10% extra for replacements. Place signs early enough for riders to react safely, not directly at the turn.
  • Prepare one bib number and one bib holder per participant, plus at least 5% spare numbers. Keep the registration table supplied with clipboards and pens so several volunteers can process riders at once.
  • Pack a repair kit for each staffed support point: include a pump, tyre levers, a tool kit and spare inner tubes. A practical starting point is one pump and two inner tubes per support point, adjusted after the route check.
  • Allow one reflective vest and one traffic flag for every volunteer working near roads. Keep a few spare vests available because route marshals are often added or moved after the final safety inspection.
  • Check power needs at least 7 days before the challenge. Test the sound system and wireless microphone together, carry extension cords and a power strip, and charge power banks and phones the night before.

Frequently asked questions

How many route signs do I need for a bike challenge?
Count every turn, crossing, hazard and confirmation point on the route, then add about 10% spare signs. A short route may need only a few dozen, while a long route with many junctions needs considerably more.
How many spare inner tubes should I buy for a bike challenge?
Start with two spare inner tubes per staffed repair point and increase the number for a long or rough route. Keep additional tubes in reserve if participants use several wheel sizes.
When should I order bib numbers and medals?
Order bib numbers and medals at least 3 to 4 weeks before the event, once the participant target is reliable. This leaves time to correct quantities, receive the delivery and sort everything by registration or finish procedure.
How much seating and table space is needed at registration?
Provide at least one registration table and one chair per registration volunteer, with one extra chair available. For busy check-in periods, allow roughly one table position for every 50 to 75 participants expected to arrive at the same time.
