Tips

  • Set the guest count before buying food. For each registered visitor, record dietary requirements and allergies, then use the final list to calculate portions and prepare a clear allergen list.
  • Walk through the site layout at least 7 days before the festival. Mark the barbecue area, buffet tables, seating, coolers, hand-washing point and power outlets so queues do not block preparation.
  • Confirm suppliers and rental deliveries 3 to 5 days ahead. Check that the gas or charcoal barbecues, tables, party tent, reusable tableware and serving equipment arrive before food preparation begins.
  • Prepare food in stages rather than leaving everything until the event day. Wash and cut vegetables, make salads and marinades in advance, but keep meat refrigerated and check its temperature before it reaches the grills.
  • Give volunteers written instructions and a contact list at least 48 hours beforehand. Assign separate people to registration, buffet service, grill support, drinks, waste and replenishing coolers so no single person has to cover everything.
